How To: Enable PDF Support in Office 2007

Office LogoThere may come a time when you need to save your work to a file format that’s easy to print or share.  A perfect example of this is when you need to create a document that’s only going to be read or printed such as a newsletter or resume.

The ideal file format in this kind of scenario is a PDF (Portable Document Format).  Thankfully Office 2007 has a free add-in that allows you to save Office files as a PDF.

Once you’ve installed the add-in you’ll be able to save your documents as a PDF.  You can save to PDF from almost any Office 2007 application but for this tutorial I will explain how to publish a Word 2007 document as a PDF.

How to save to PDF in Word 2007

  • Open the Word Document that you want to publish as a PDF
  • Click the Microsoft Office Button which is in the top left hand corner of Word 2007
  • Hover your mouse arrow over Save As
  • Under Save a copy of the document click PDF or XPS
  • In the Save as type: drop down list.  Select PDF (*.pdf)
  • Depending on how you want the quality of the file select either Standard (publishing online and printing) or Minimum size (publishing online)
  • Click Publish

*Note: To open the newly saved file you will need software installed on your computer that can view PDFs.  I suggest using Acrobat Reader or Foxit PDF Reader

How To: Backup Outlook Email

Microsoft OfficeIn this tutorial I will be showing you how to backup and restore your Microsoft Outlook email.

Firstly I’ll explain what the file is that we’re backing up. The Personal Folder file (.pst) is place where Outlook stores all of its data. The (.pst) file usually contains the Inbox, Sent, Deleted, Calendar and Contacts folders. When you backup this file you will be backing up all of your Outlook information.

How To Backup Outlook Email

  • In Microsoft Outlook. Click File > Import and Export
  • You will now see The Import and Export Wizard
  • Select Export to a file. Click Next
  • Select Personal Folder File (.pst). Click Next
  • Select the folder that you wish to backup. This is usually Mailbox – Your Name
  • Click the Browse Button and choose a location to save the file *Hint – Save to desktop. Click Finish
  • Name the file and Select No Encryption. Click OK

You have now created a backup of your Outlook file. As an extra backup precaution, I suggest burning the file to a CD or DVD.

How To Restore Outlook Email

  • In Microsoft Outlook Click File > Import Export
  • Select Import from another program or file. Click Next
  • Select Personal Folder File (.pst). Click Next
  • Browse to the (.pst) file that you want to import. Click Next.
  • Click Finish

Microsoft has also released an automated backup utility, which allows you to schedule regular backups of your Personal Folders file.

How To: Use Microsoft Outlook with Windows Live Mail

Windows LiveYou can easily use Microsoft Outlook to access your Windows Live Hotmail accounts.

MSN Premium and Microsoft Office Outlook Live subscribers can use a tool called the Microsoft Office Outlook Connector.

Using the Outlook Connector you can:

  • Read and send your Office Live Mail/Windows Live Mail through the Outlook interface
  • Manage and share your Calendar schedule
  • Manage your Live Mail Contacts
  • Access your Tasks and Notes
  • Use advanced options for blocking junk e-mail
  • Manage multiple e-mail accounts in one place

To Install the Office Outlook Connector simply:

  • Close Microsoft Outlook
  • Download the Microsoft Office Outlook Connector
  • Run the Office Outlook Connector installer and follow the on screen instructions
  • When the installation is complete, open Microsoft Outlook
  • When prompted, sign in to Windows Live Mail using your username and password

*Note: You need a MSN Premium or Microsoft Office Outlook Live subscription to access Windows Live Mail in Outlook.
